Sustainable Event Photography and Video: 6 Ways to Reduce the Footprint of Your Event Coverage
More and more clients ask event agencies to show how their events reduce waste and emissions, and the photo and video supplier is part of that picture. Sustainable event photography is not about lower quality or fewer images. It is about making a few practical choices in how the crew travels, what equipment it uses and how the material is delivered.
This article explains what we do at Lupu Agency and what event managers can ask of any photo and video team when an event in Spain has sustainability goals. None of it is complicated, and most of it also makes the work faster and easier for everyone involved.
Why the photo and video supplier matters
When an agency calculates the footprint of an event, the photography and video crew is a small line next to venues, catering and guest travel. But it is a line the event manager controls directly, and the choices are easy to explain to a client: where the crew comes from, how the material is delivered, and how much single-use material ends up in the bin.
There is a second reason. Photos and videos are how the event is remembered and reported. If the event made sustainable choices, the coverage is where those choices become visible.
1. Hire a local crew instead of flying one in
Travel is usually the largest part of a crew’s footprint. An agency that flies its own photographers and videographers to Madrid adds flights, hotel nights and often extra luggage for equipment.
A local team avoids most of that. We are based in Madrid, so events in the city need no flights at all, and for the rest of Spain we plan routes to keep the kilometres down. When it makes sense, the team shares transport to the venue. For international agencies, a local partner is often the simplest sustainable decision available, and it is usually the more economical one too. We explain the cost side in our guide to budgeting photo and video for an event in Spain.

2. Rent specialised equipment instead of buying it
Good equipment lasts for years, and repairing it is almost always better than replacing it. For specialised kit that is only needed for some productions, such as extra lighting or additional cameras for a multi-camera recording, we rent rather than buy. It avoids equipment that sits unused between jobs, and it means each production gets exactly the kit it needs.
3. Deliver everything digitally
Hard drives, USB sticks and DVDs used to be a normal part of delivering event photos and videos. They are no longer necessary. We deliver edited images through a private online gallery where the client’s team can select and download what they need, and videos are shared online in the formats requested.
The same applies to the paperwork around the job. Quotes and contracts are signed digitally, and nothing needs to be printed or posted. It is better for the environment and faster for an agency that is managing the event from another country.

4. Avoid single-use materials on set
Photocalls, interview corners and portrait areas can generate a surprising amount of waste. A few small decisions make a difference:
- Reusable backdrops instead of disposable paper or printed vinyl made for one day.
- No single-use props or decorations for portrait areas.
- Refillable water bottles for the crew instead of plastic ones.
If you are planning a photocall, ask whether the backdrop can be reused at your next event, for example by keeping the event name off it and using only the brand. It is also worth considering whether you need a photocall at all. Some events now offer attendees a professional LinkedIn headshot instead, which people actually keep and use.
5. Work with local suppliers
Sustainable choices work best when the whole supply chain shares them. Working with local suppliers reduces transport and supports the local economy. On larger events, it is worth asking the venue, the production company and the caterer about their own practices, and choosing partners who take them seriously.

6. Use the coverage to show your sustainable choices
This is the point many organisers forget. If the event uses reusable signage, local food, refill stations or digital programmes instead of printed ones, the photographer should know in advance, so those details appear in the coverage.
Add them to the shot list in the briefing. The images are useful for the client’s sustainability reporting, for the post-event communication and for proposals to future clients. Without a brief, the photographer may never notice them.

If your client follows a formal framework such as ISO 20121 for sustainable events, ask the event’s sustainability lead which evidence they need, and include it in the photo brief.
What to ask your photo and video supplier
If sustainability is part of your event brief, these questions help you compare suppliers:
- Where is the crew based, and how will it travel to the venue?
- Is all material delivered digitally?
- What equipment will be rented, and what will be brought?
- Will any single-use materials be used on set, such as paper backdrops or props?
- Can the crew document the event’s sustainable choices as part of the shot list?
Frequently asked questions about sustainable event photography
Does sustainable event photography mean fewer photos or lower quality?
No. The choices are about travel, equipment and delivery, not about the coverage itself. The client receives the same edited gallery and the same video.
Is a local crew really more sustainable than our own team?
In most cases, yes, because it avoids flights and hotel nights. For events in Madrid, our team travels across the city, not across Europe.
Can you photograph the sustainability measures of our event?
Yes. Send us the list in the briefing and we include them in the shot list, so the images are ready for your report and your communication.
Do you work outside Madrid?
Yes. We cover events across Spain and travel for events elsewhere in Europe, planning the trip to keep travel to a minimum.
