Event Photography Budget in Spain: What Really Drives the Cost of Photo and Video Coverage
Setting an event photography budget in Spain is easier when you know what actually moves the price. Two quotes for «photography at a conference in Madrid» can look very different, and most of the time the difference has nothing to do with the photographer’s day rate. It comes from the programme, the number of people on site, whether you need video too, and how quickly you need the material afterwards.
This guide is written for event managers at agencies and companies planning an event in Spain from abroad. It explains the factors we look at when we prepare a quote for photo and video coverage, so you can brief your supplier clearly, compare offers fairly and spend the budget where it shows.
Start with the programme, not with a number
The first thing we ask for is not the budget. It is the running order. Coverage is booked in hours, and the number of hours depends on what happens in the room: registration, the opening keynote, panels, breakouts, lunch, the awards, the dinner.
A single evening gala from 18:00 to 22:00 is a very different job from a two-day congress with parallel sessions. Hours are usually booked as full blocks, so a clear schedule helps you avoid paying for time nobody needs, and it helps the crew be in the right place for the moments that matter.
If the budget is tight, it is better to cover the key moments well than to cover the whole day thinly. Ask yourself which images your client will actually use after the event, and plan the hours around those.
Photo, video or both
Photography and video are two different jobs with different equipment, different people and a different edit. Many event managers ask for both, and that is usually the right call: photos for the press, the website and LinkedIn, and video for a recap, interviews and social clips.
What changes the video budget most is not the filming itself but the deliverable. A short highlight video with licensed music and a clean edit is one thing. Speaker interviews filmed with several cameras and proper lighting, or a full recording of every session, need more people, more kit and more editing time.

If you need both, book them with the same team. One supplier means one briefing, one point of contact, and photographers and videographers who already know how to share the space near the stage without blocking each other.
Crew size depends on what happens at the same time
The number of guests does not decide how many photographers you need. The number of things happening at once does.
A single-stage conference can often be covered by one photographer if the schedule is clear. Add a photocall at the entrance, interviews in a side room, a sponsor area and an awards ceremony, and each of those spaces needs its own person. At the Best CEO Awards at the Mandarin Oriental Ritz, for example, our team on site was eleven people: five photographers and six videographers.

When you compare quotes, compare the crew as well as the price. A lower figure sometimes means one person trying to be in three rooms.
The type of event and the experience it needs
Some events forgive mistakes. Others do not. An award handover, a keynote by a minister or the official group photo happen once, and if the photographer is in the wrong place, there is no second chance.
Institutional events, galas with protocol and launches with press need a team that has done this before: people who learn the speakers’ faces in advance, know where to stand and work discreetly among guests in evening dress. That experience is part of what you pay for, and it is the part you only notice when it is missing.

Location and travel
Where the event takes place affects the quote in two ways. Prices in large cities such as Madrid or Barcelona tend to be higher than in smaller towns, and any crew that has to travel adds transport and, for long days, accommodation.
This is where a local team helps. Lupu Agency is based in Madrid, so events in the city carry no travel costs, and events elsewhere in Spain only add the trip itself. For an agency based outside Spain, hiring a local crew is usually more economical than flying its own photographers in, and the crew already knows the venues and how Spanish production companies work.
Editing, delivery times and extras
The hours on site are only half the job. Every image is selected, colour corrected and lightly retouched before delivery, and every video is edited. When you compare quotes, check what is included:
- Edited images in high resolution
- The standard delivery time.
- Urgent editing
- A first selection during or right after the event, for the press or for social media.
- The video edit: a highlight trailer with royalty-free music and transitions, or longer pieces such as interviews.
Trade fairs: cover the peak hours, not the whole day
Exhibitors at fairs such as those held at IFEMA Madrid often ask for full days of coverage. In most cases, we recommend booking around four hours a day at the stand’s peak time, when the most visitors, meetings and activity are expected. The stand is quiet for much of the day, and those hours rarely produce images anyone uses. You can read more in our article on photography and video for events at IFEMA Madrid.
How to get more from the same budget

- Share your budget range early. A good supplier will tell you what is realistic for that figure and where to put the hours.
- Send the running order and the list of key people. It saves hours on site and makes the quote more accurate.
- Look at portfolios from similar events. A great wedding portfolio says little about how someone handles a congress.
- Book early. Busy weeks in Madrid and Barcelona fill up months ahead, especially around large fairs and congresses.
- Decide what you will use. If the images are for LinkedIn and a press release, you may not need a full day. If you want to offer attendees a professional portrait, consider a LinkedIn headshot area instead of a classic photocall.
Frequently asked questions about event photography budgets in Spain
How many hours of coverage do I need for a corporate event?
It depends on the programme. A gala or an award ceremony is often covered in four hours. A full conference day usually needs eight. For trade fairs, around four hours at the stand’s busiest time is often enough.
Is it cheaper to bring our own photographer from abroad?
Usually not. Flights, accommodation and travel days add up quickly, and a local crew already knows the venues. Many international agencies work with a local partner instead, and some do it on a white-label basis, with the crew working under the agency’s name.
Can we get photos on the same day?
Yes, if it is planned. A first selection during or right after the event is available on request. The full edited gallery follows within the agreed delivery time.
Do you work outside Madrid?
Yes. We cover events across Spain and travel for events elsewhere in Europe. Outside Madrid, the quote includes the travel.
Can you work in English with an agency based abroad?
Yes. We work in English and Spanish, and also in Romanian and French. Briefings can be done by video call and email.
